Windmill Lane Pictures – Client Service Coordinator (Full Time)

Windmill Lane, Ireland’s longest running VFX and Post-Production company is looking for a full time Client Service Coordinator to join the team.

Our client base lies across the Irish and international Film, TV, and Advertising sectors. 

Your primary role will see you responsible for managing the front desk area, providing administrative support, and ensuring efficient communication both internally and externally.

The Client Service Coordinator ensures that the client service aspect of the company is carried out to both staff and clients and facilities are to the highest standards.

Principal Responsibilities:

Client Services: 

• Welcoming visitors to the office and ensuring a friendly, personal experience.
• Ensuring that the client attended suites are presentable and are provided with tea/coffee/water.
• Maintain office security by following safety procedures and controlling access via the reception desk.
• Check in daily with the Production, HR, and Senior Management Teams to be aware of what clients, guests and visitors are due and be aware of any requirements for those visits.

Building: 

• Ensure office efficiency by maintaining working areas, organising procedures, handling correspondence, managing file systems, and overseeing supplies and equipment.
• Provide direct administrative support as needed, including scheduling appointments, meetings, and events; booking travel; maintaining file systems; mailing and shipping packages; and updating contacts database and employee lists.
• Provide assistance with planning and coordinating in house or off-site activities such as parties, events, conferences.
• Assist the Office Manager with the daily management of the cleaning staff and perform regular building walkthroughs to ensure emergency exits and stairwells are clear and that all emergency equipment such fire extinguishers and first aid kits are in the correct places and first aid kits kept up to date and well stocked.
• Provide admin support to the Senior Leadership team, Senior HR Generalist and Office Manager.    

The ideal candidate will have:

• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and G Suite.
• Professional attitude and appearance.
• Excellent communication skills (written and verbal).
• Ability to multitask and prioritize tasks effectively.
• Customer service-oriented with a positive attitude.
