IFTA - Academy Administrator

Established in 2003, the Irish Film & Television Academy (IFTA) is a not-for-profit all-Ireland organisation with a membership of 1,300 Irish industry professionals.  The Academy works to celebrate, honour and promote the achievements and growth of Irish creative talent by identifying and platforming excellence, nurturing new talent in front and behind the camera and enabling learning and creative collaboration.

In addition to our Awards ceremonies, the Academy delivers a year-round programme of c50+ yearly learning events and initiatives that offer unique access to some of the world’s most inspiring talent.  This is done through masterclasses, lectures, discussions, workshops and mentoring programmes in Ireland.  IFTA is delivering on it’s 5-year strategic development plan, expanding it’s learning and mentorship programme, it’s Membership base, it’s awards events and developing its international presence via IFTA-LA and IFTA-London.  

IFTA is now seeking to recruit an experienced administrator with superb organisations skills to work with the Academy’s small dynamic team. This includes confidential and sensitive work and therefore excellent administration/communication skills are essential, as is the ability to handle a range of tasks simultaneously.

Essential Requirements for this Role

  1. Has exceptionally strong administrative and organisational skills, is very resourceful while working to strict deadlines and is committed to excellence and high standards of professionalism with an exceptional work ethic.
  2. Have excellent communication skills and can manage confidential information with absolute discretion and a high degree of personal integrity.
  3. Have excellent keyboard skills, speed and accuracy and be proficientin Microsoft Outlook, Word, Excel, PowerPoint; Google Suite, Mailchimp.
  4. Have basic Bookkeeping ability, spreadsheet and bank reconciliation skills.
  5. Have experience in all Social Media Platforms: Instagram, LinkedIn, Facebook, Twitter etc.
  6. Can deliver quality Report writing, reference and spreadsheets.
  7. Have minimum 5 years of experience in a professional office setting.
  8. Experience in, or strong affinity for, the arts and culture industry is an advantage.
  9. Skills and experience in event, marketing and digital media is also an advantage.
  10. Ability to work in an office environment and also independently and effectively from a home office as part of the company’s ongoing virtual work.

Key Responsibilities include:

  1. Responsibilities include scheduling, office management, budgetary management, processing membership and grant applications. Working closely with management and executive on the learning events programme, membership applications, awards ceremonies, nominees, guests, and liaising with industry professionals.
  2. Keeping appropriate records for all Academy activities/events, masterclasses, awards etc
  3. Process receipts, invoices, petty cash, banking, update spreadsheets, liaise with company accountants.
  4. Dealing with correspondence and telephone enquiries and liaising with Academy partners, distributors, and 3rdparty suppliers to ensure deadlines are met.
  5. Corresponding with Irish and international agents across event schedules and itinerary for participating professionalsmaking travel arrangements and booking venues and meetings.
  6. Manage office subscriptions for general services/renewals across software, trade publications, online resources and service providers etc.
  7. Update weekly mailouts and newsletters for Members and industry professionals and provide support  across the Academy’s online platforms:
  8. Working closely with the Head of Film & Television and the team to deliver exceptional Learning programme of events, with weekly deadlines, targets and progress updates.
  9. Prepare weekly/monthly reports for the CEO
  10. Provide administrative support to the CEO as needed across Diary and scheduling.

 

Ideal Qualifications

  • BA in Arts Administration, Business Administration or Event management
  • Alternatively, proof of relevant Professional Career experience + admin related training courses
