Film & Television Co-Ordinator (IFTA)

Established in 2003, the Irish Film & Television Academy is a not for profit all-Ireland organisation which works to celebrate, honour and promote the achievements of Irish creative talent both in Ireland and internationally.  The Academy, as part of it’s Learning Programme of Events, programmes up to 50 events/activities each year for Irish Academy Members and the General public, including Film Premieres, Q&As, Masterclasses, Screenings, Tributes, Lectures, Panel Discussions, as well as two annual Awards ceremonies (IFTA Film & Drama Awards, and the IFTA Television Awards), and the John Ford Ireland - Film Symposium, every two years.

IFTA is now seeking to recruit a Film & Television Co-Ordinator with excellent administration, communication and computer skills to work with the team specifically across the Academy’s annual 12 month Programme of Activities (as outlined above), including the annual Awards Submissions & Viewing process and the Nominees & Guests attendance.

Role overview

The Film & Television Co-Ordinator will support the process, planning and roll-out of the Academy’s annual programme of activities including the Awards administration, following the approved Awards Rules & Guidelines to process entries, voting information, communication with submitters, ticket enquiries, in addition to ongoing general Academy administrative tasks. 

The chosen candidate will have excellent Communication skills, Administration & Computer skills, meticulous attention to detail, will have an understanding of the Irish film & television industry and can build and maintain relationships at all levels, is motivated by delivering outstanding results, reaching team and individual targets whilst being able to multitask in a busy environment.

Main Duties and Responsibilities:

  • Assist Manager in coordinating Entry process, check and approve entries, deal with queries, communicate with entrants and nominees, manage data and listings
  • Update relevant text on website sections via the admin-suite across the Viewing and Voting online platform.
  • Handle Awards-related queries from Members, submitters and other Awards staff
  • Collate the list of nominees and adhere to strict confidentiality measures and assist with the sourcing and collation of nominee material.
  • Assist with the seating plan and ticketing for attendees and guests with the Manager, Producer and Event co-ordinator.
  • Assist with invitations and any required travel arrangements for guest presenters
  • Support the Sponsorship Officer regarding sponsors requirements; assisting with sponsors, advertisers and gifters in relation to the Awards ceremonies
  • Provide superb Admin co-ordination across key areas and be a great team player

General:

  • At all times be professional and courteous in representing IFTA with the highest level of confidentiality.

Stakeholder management/relationships:

  • At all times to liaise effectively with other IFTA departments, and other international Academies ensuring good working relationships are developed.

Requirements for the role:

  • Knowledge of the film and television industry in Ireland
  • Excellent Communication & Administration skills
  • Excellent Computer skills - proficient in Word and Excel (with knowledge of using other organisational packages such as powerpoint, filemakerpro and photoshop an advantange)
  • Experience of working to deadlines and achieve specific targets
  • Meticulous attention to detail and deliver outstanding results
  • Build and maintain relationships at all levels
